Personal Assistant

We are looking for a Personal Assistant to join our growing team. You will be providing professional administrative and organisational support for fee earners across the firm. Our office is within easy access of Kings Cross and Farringdon mainline stations and Chancery Lane tube.

Main Responsibilities

  • Proactive diary management
  • Accurate and efficient organising of face to face meetings, telephone conferences and video conferencing including, booking rooms, liaising with parties, circulating agendas and required documents and making catering arrangements
  • Maintaining client files including on the document management system
  • Ensuring file reviews are kept up to date on a monthly basis
  • Inactive files and file closures to be dealt with on a monthly basis
  • Keep social value updated for team and general office projects
  • Assist fee earners with expenses and Partner credit cards
  • Requirement to attend office for all client meetings
  • Assist with setting up podcasts/webinars for team
  • Preparation of post
  • Organising couriers as required
  • Support and assist with putting together presentations and supporting materials
  • Arranging and booking training
  • Coordinating and submitting approved expenses
  • Making required travel arrangements and itineraries
  • Matter and file opening and closing
  • Supporting ad hoc administrative projects, business development and marketing initiatives
  • Client liaison
  • Maintaining records and filing including on the case management system, Linetime
  • Document preparation
  • Assisting with readying files for archiving and supporting the archiving process
  • Some proof reading and cross referencing as and when required
  • Any additional fee earner support from time to time as and when required
  • Occasional reception cover, as and when required

Required knowledge, qualifications, skills and experience

Essential
  • Excellent IT skills including Outlook, Word, Excel, Powerpoint
  • Excellent administration experience
  • Excellent organisation experience
  • Diary management experience
  • Experience of working in a law firm environment
Desirable
  • Knowledge and understanding of legal terminology
  • Experience of public and local authority sector

Please note, the hire will be required to be present in our office on Thursdays and Fridays.
